Hi, Sherry Howell here from CenterEdge Software. And today’s Pro Tip is for managers in nearly every Department. It’s a way for you to have to pull fewer Reports by having them sent to you Automatically via Email.
Think about those Reports that you pull regularly.
For example, your GM might need your End-of-Day Balance Report every day. Or maybe the comparable Sales Report by date, so that you can compare this year’s sales to last year at the same day.
Or maybe every Monday, your party manager needs a Report of all the outstanding Milestones so that you know which tasks have to be completed for this week’s parties.
Basically any Report that you pull regularly can be set up to send Automatically on a one-time or a recurring basis.
Inside “Maintenance”, “Notifications” you’ll begin to add an Event, like a sales Report.
You’ll then select who will get your Report. Either team members inside your facility, or outside, such as sending to an accountant.
The frequency and timing of your Emails are fully customizable.
You can set them to send any time, even while you’re open, but you probably want to send them after closing, such as sending your End-of-Day Balance Report at 3am daily to ensure that you’ve got a good picture of what happened each day.
You’ll be able to set your Report’s parameters to pull in time-relevant data each time.
So if, every day for example, you wanted to pull the previous day’s Report, you can simply set the Report date to be Today minus 1, so that at 3am each morning, you’ll receive a daily Email with the previous day’s Report.
