Manage Sessions
Sessions are divisions of the business day, traditionally used for skating rinks. In order to use sessions in the POS you must first enable them for the division your station is in and then enable them in System Settings.
Enabling Sessions
- From Manager Console, click Maintenance.
- Double-click System Settings.
- Double-click Divisions.
- Select your division from the pull-down list.
- Click Edit.
- Select Enable Sessions.
- Click OK.
- Repeat this process for any other divisions on which you want sessions enabled.
- Click Exit.
- Double-click Sessions.
- Click Edit.
- To enable sessions, select Enable Sessions.
Session Settings
- To require a till to be cashed out and cashed back in based on session number, much like after a shift change, select Enforce Cash in Per Session.
- To create a custom schedule of sessions, select Use Predefined Session Times.
If selected, session numbers will begin at 1 and ascend the later the session is on the session schedule.
Selecting this also makes the Automatic Session Number Advance option available. This option causes session numbers to automatically switch to the next one according to your session schedule. If this is not selected you will have to manually advance sessions. If this is selected, the Number of Minutes Prior to Session to Advance option also becomes available. This allows you to specify an amount of time before your predefined schedule slot that the session will automatically advance.
Creating a Session Schedule
- Sessions are divided into sections called Session Groups. By default there are 7 session groups labeled with the days of the week. These cannot be deleted, but they can be changed and more can be added. Note that Use Predefined Session Times must be selected in order to create a session schedule.
- To edit a session group title, click the group name.
- Delete the text in the Description field.
- Enter a new Session Description.
- Select whether to show the session.
- Click Update Session Group.
- To add a new session group, enter a Session Description.
- Click Add Session Group.
- Select whether to show the session.
- To add a new session, click and drag over the time increments you want to be included.
- Right click the highlighted portion.
- Click Add.
- To move a previously created time slot, click and drag it to a new time.
- To delete a time slot, right click it.
- Click Delete.
- To copy an entire session group's time slots, right click a time slot.
- Click Copy.
- Toggle No to Yes by clicking on it for every session group you want to copy the time slots to.
- Click OK
- When asked whether you are sure you want to copy the entire session, click Yes.
- When you are finished creating your session schedule, click OK.
Changing Sessions
- If your sessions are not set to automatically advance, you will need to manually advance them.
- From Manager Console, click Cash Control.
- To change the session group, double-click Choose Session Group.
- Click a session group.
- Click OK.
- If you see a message saying the session group has already been set for the day, click Yes only if you want to manually advance the session to the correct one.
The session number displays at the upper right of Manager Console's screen. After changing the session group, the session number will have a value of Not Set.
- To advance the session, either to the first session of the day from a Not Set status or to the next session on your session schedule, double-click Advance Session Number.
- When prompted to choose whether you are sure you want to change the session number, click Yes.
- When you are prompted again, click Yes.
Once you have set the session number, you can also see it in the lower right of the POS. If no session number is set and you have sessions enabled, you will not be able to log in to the POS.
